SOP Software: 9 Tools for Writing and Managing SOPs (2026)
Founder & Content Creator at Vibrantsnap · 15 min read
SOP software does two jobs. The first is getting a procedure written: someone has to sit down, do the task and turn it into steps. The second is keeping it followed: the right version, an owner, a review date, and proof that the people who should read it did. Most tools now touch both, since nearly every SOP library drafts with AI. They still lean one way, and that lean decides what you pay for.
Every price and plan below comes from the vendor's own pricing page and help center, read on November 5, 2026. Where a vendor publishes no price, we say so rather than estimate one.
Disclosure: we make Vibrantsnap. To keep the ranking honest, it sits outside the numbered list, in its own section after it.

The short version: if nobody has written your procedures down, start with an SOP generator that captures the task: Scribe, Tango or Dubble from your clicks, or Vibrantsnap from a narrated recording. If they are written down and nobody follows them, you are shopping for a library with assignments and sign-off: Trainual, Whale, SweetProcess or Waybook. If a procedure has to be run every time, with approvals and an audit trail, that is Process Street. If your procedures live on a shop floor or a site rather than in software, look at Mitti.
Writing SOPs vs keeping them followed
The two halves fail differently. Writing fails because it is slow: a 15-step procedure written from a blank page, with screenshots, can take an hour, so it gets postponed. Governance fails because nobody owns it: the procedure exists, but it is three versions old and nobody can say who read it.
Capture tools attack the first problem. You perform the task once and the tool turns each click into a step with a screenshot. SOP libraries attack the second: versions, owners, review dates, assignments, quizzes and e-signatures. The line has blurred. Whale, Trainual and SweetProcess now record screens or browser workflows, and Scribe and Tango sell roles, completion insights and version history on paid plans. But each tool is still much deeper on one side than the other, as the table shows.
We compared the capture side in more depth, written guides against video, in our process documentation software roundup. This list is about SOPs specifically: procedures someone is accountable for.
The best SOP software in 2026
SOP libraries: write, assign, prove
1. Trainual: SOPs wired into training
Best for: small and mid-size businesses whose real problem is onboarding people onto the procedures.
Trainual calls itself "Training, Operations & Performance Software". You can "describe what you need, and AI will generate a clear, step-by-step draft", upload existing documents, or record your screen. Every plan has due dates, tests, content verification reminders and the Slack integration, and every plan can export content as a PDF. Version history runs from 30 days on Core and 90 days on Pro to unlimited on Premium and Enterprise; e-signatures and SSO sit on the higher plans.
Pricing: not published. The pricing page says plans "vary depending on the size of your team" and asks you to book a demo, across Core, Pro, Premium and Enterprise. "A one-time implementation fee of $1,000 applies." There is no free plan.
Trade-off: you cannot see the price before a sales call, and the implementation fee applies to every new customer. There is no click capture: the AI drafts from your description, not from the task itself.
2. Whale: a library with capture built in
Best for: teams that want SOPs, training and quizzes in one place, written by a few people and read by many.
Whale describes itself as an "AI-powered SOP, process documentation and employee training platform". On every plan, the Free plan included, it has an AI SOP writer, a video-to-SOP converter, a PDF and Word importer and a screen recorder. Every plan also has read assignments with due dates, expert review cycles and Google Drive and OneDrive integration. Version history is 90 days on Scale, 1 year on Advance and unlimited on Enterprise; approval flows are Enterprise only. AI voiceovers start on Advance.
Pricing: Free covers 1 creator, up to 10 members and 20 Playbook items. Scale is $299 a month billed yearly ($399 monthly) with 3 creators; Advance is $599 billed yearly ($799 monthly) with 5 creators; Enterprise is custom. Extra creators on Scale cost $29 a month billed yearly. PDF and Word export start on Scale.
Trade-off: members are capped on Free, Scale and Advance and unlimited only on Enterprise, and formal approval flows need Enterprise too.
3. SweetProcess: one plan, everything included
Best for: ops teams that want one library for procedures, processes, policies and tasks, at a flat team price.
SweetProcess pitches itself as a place to "document processes, procedures and tasks in one place". It drafts with AI ("just think of the document title, AI will do the rest"), records workflows "direct to procedure" with a browser plugin, and imports Microsoft Word files. On the governance side you can roll back to any version, give managers the power to approve, run quizzes, assign and track tasks, and restrict access by team. SSO works through SAML or Active Directory, with SCIM and Zapier.
Pricing: one plan with every feature: $99 a month for up to 10 members, plus $5 a month per extra member, or $82.50 a month billed yearly. A small-team discount brings it to $495 a year for up to 5 members. There is a 14-day trial and no free plan. Procedures export to PDF and Word.
Trade-off: no free plan, and the single plan means a 3-person team pays the same base price as a 10-person one, unless it qualifies for the small-team discount.
4. Waybook: playbooks and a knowledge base
Best for: teams that want SOPs to sit inside a wider company playbook, with tests and completion tracking.
Waybook calls itself "a knowledge-base and business-playbook platform for teams". Core includes an unlimited AI content writer, imports Word, PDF and PowerPoint files, and adds revision history, tests, completion tracking, roles, and the Slack and Microsoft Teams integrations. Pro adds an approval process, document verification with review dates, knowledge confirmation steps, full version history, SSO and directory sync, and an audit log. Waybook Shots is a short-form video add-on.
Pricing: Core is $99 a month billed yearly ($119 monthly) with 20 team members included, then $5 per member billed yearly. Pro is $198 a month billed yearly ($238 monthly). Enterprise is priced on request. There is a 7-day trial and no free plan. PDF exports start on Core.
Trade-off: approvals and review dates, the parts that make an SOP auditable, are Pro only. There is no click capture.
5. Process Street: procedures you run, not read
Best for: recurring procedures with a completion state: client onboarding, month-end close, compliance checks.
Process Street now calls itself "the Compliance Operations Platform that turns your policies into automated, AI-enforced workflows". Instead of a document, you build a template once and run an instance each time, with approvals, revision restore, role assignments, dynamic due dates and Slack and Microsoft Teams apps on every plan. Its AI generates a workflow "from a simple name and description", and AI Workflow Import reads PDF, CSV, DOCX, HTML and TXT files up to 25 MB. Workflows export as a PDF through the Print option.
Pricing: every plan, Startup, Pro and Enterprise, says "Contact sales". Pro starts with a 14-day free trial, and Startup is for companies with fewer than 15 employees and under $2 million in revenue. SAML SSO, SCIM and HIPAA are Enterprise.
Trade-off: no public price, no free plan and no screen capture. A procedure that people read rather than execute can feel awkward as a checklist.
6. Mitti (by SafetyCulture): SOPs for sites and shifts
Best for: frontline operations: warehouses, retail, hospitality, field teams.
SafetyCulture now runs as Mitti, "the operations system for every site, shift and standard"; safetyculture.com/pricing redirects to mitti.com. Its training side drafts lessons with AI from a description, converts an existing PPT, PDF or DOCX into a course, and adds AI narration and translation. Its document side assigns file owners, sets expiry dates and keeps earlier versions alongside course completions. Document management is on Free; recurring courses, the training matrix, permissions and SSO start on Premium.
Pricing: free for up to 10 users. Premium is $24 per seat per month billed yearly ($29 monthly). Enterprise and location-based pricing are on a quote.
Trade-off: it is built for physical operations and inspections. There is no SOP generator page, only free SOP templates, and its exports to PDF, Word and Excel cover inspection reports.
Capture tools: get the procedure written
7. Scribe: written SOPs from your clicks
Best for: fast written SOPs for web applications, exported as documents.
Scribe captures a process automatically as you click through it in the browser and turns each click into a step with a screenshot, on every plan. Desktop capture, voice transcription and importing existing process documents are Pro and up. Version history is 1 week on Pro Personal and Pro Team and unlimited on Enterprise; comments start on Pro Team, and the guide verification workflow, SAML SSO, role-based access control and the Slack bot are Enterprise.
Pricing: Basic is free. Pro Personal is $25 per seat per month billed yearly ($35 monthly); Pro Team is $13 per seat billed yearly ($17 monthly) and starts at 5 seats. Enterprise is custom. Export to PDF, HTML, Markdown and Microsoft Word starts on Pro Personal. Our Scribe pricing guide has the full breakdown.
Trade-off: strong at writing, light on governance below Enterprise: a week of version history and no verification workflow on Pro.
8. Tango: browser capture for small teams
Best for: small teams documenting browser tools, with no seat minimum.
Tango captures workflows in the browser on every plan. Desktop capture, voice transcription, AI-generated content and voice and video embeds are Pro. Pro adds workspace roles and viewership and completion insights; version history is 14 days on Pro and 365 days on Enterprise, where SSO and audit logs also sit.
Pricing: Free covers 5 shared workflows and up to 10 users per workspace. Pro is $22 per user per month billed yearly for 1 to 2 users and $15 from 3 users ($30 and $20 monthly). Enterprise is custom, plus a platform fee based on the number of users. PDF download and HTML and Markdown exports are Pro. We compare it head to head in Scribe vs Tango vs Guidde.
Trade-off: the free plan stops at 5 shared workflows, and governance beyond roles and completion insights is Enterprise.
9. Dubble: free capture with PDF download
Best for: teams that want Scribe-style click capture without paying for exports.
Dubble "watches how you work and translates your actions into written step-by-step guides, videos and screenshots". Click capture is on every plan; screen recording with audio, desktop recording for Mac (in beta) and creating steps from an existing video are Pro. Its Free column checks PDF download, Magic Copy and unlimited sharing and exports.
Pricing: Free, then Pro at $18 a month billed yearly with 3 creators included, plus $6 a month per extra creator. There is a 14-day trial of Pro; Enterprise goes through sales and adds SAML SSO.
Trade-off: governance is minimal: no version history or approvals are listed, and inviting collaborators is Pro.
Where Vibrantsnap fits
We make Vibrantsnap, which is why it is not in the numbered list. It is an SOP generator in the same family as Scribe, Tango and Dubble, which sell their capture as SOP generators: it writes the SOP as numbered steps with a screenshot for each, from a recording of you doing the task. The difference is the input, your narration rather than your clicks, and the same take also becomes a narrated video.
You record a tab, a window or the whole screen with the Chrome extension, or import a video you already have, and talk through the procedure as you do it. From that narration, Vibrantsnap writes the SOP as a step-by-step guide: numbered steps, each with a title, an optional description and a screenshot. You edit the steps, then copy the guide as HTML and Markdown into Notion, Confluence or Google Docs, or download it as a PDF. The guide is free on every plan, the Free plan included, and uses no AI credits. Whale, Waybook and Process Street all import PDFs, so a downloaded guide can go straight into their library.
The same recording becomes a narrated video: the AI rewrites your narration into a clean script, reads it in one of 30 studio voices in 10 languages, retimes the video and adds zooms and captions. That helps with the steps a screenshot can't explain, such as which number on a dashboard decides the next step. The AI voiceover and the guide take recordings up to 25 minutes.
Pricing: recording, editing, previewing and the guide are free, with 3 AI credits a month (1 AI credit = 1 AI voiceover). Exporting the video starts on Pro, at $49/month, or $40/month billed yearly. Every plan is on our pricing page.
Trade-off: the SOP comes from what you say, so a silent recording gives it nothing to work with. Approvals, assignments and sign-off live in a library: if you need them, import the PDF into one of those above.
Free SOP software and free AI SOP generators
Several vendors have a free "SOP generator" page. Most of them are landing pages for the product rather than a tool you can use without an account:
| Vendor | Free plan | Free SOP generator page |
|---|---|---|
| Whale | Free: 1 creator, 10 members, 20 Playbook items | Needs an account, with 20 free AI credits |
| Waybook | 7-day trial | "Free to use" in the browser; saving needs a trial |
| Mitti (by SafetyCulture) | Free up to 10 users | No generator; free SOP templates |
| Scribe | Basic | A landing page: needs the extension and a signup |
| Tango | Free: 5 shared workflows | A product page with a signup |
| Dubble | Free, with PDF download | A landing page for the extension |
| SweetProcess | 14-day trial | An article; the AI needs a trial signup |
| Vibrantsnap (ours) | Free: an SOP with screenshots from each narrated recording, copied or downloaded as a PDF | No separate page: the SOP is part of the Free plan |
A generated SOP from a one-line prompt reads well and says little. The details that make a procedure useful, such as which record to check before approving or which field finance rejects, only exist in the head of whoever does the task. That is why capture, from clicks or from a narrated recording, still beats a blank-page generator for the first draft.
How to choose SOP software
- Is your problem writing or following? If your library has a dozen pages and half are stale, you have a writing problem, and approvals will not fix it. Start with capture.
- Who writes, and who only reads? Whale and Dubble price per creator; Waybook and SweetProcess include a block of members; Scribe, Tango and Mitti price every seat. The difference is large when a few people write for many readers, but check the member caps too: Whale limits members below Enterprise.
- Do you need to prove who read which version? Then check where sign-off and version history sit: e-signatures are on higher plans at Trainual and from Advance at Whale, knowledge confirmation and full version history are Pro at Waybook, and SweetProcess includes version rollback and manager approval in its single plan.
- Do procedures get read or run? A procedure run every month with approvals belongs in Process Street, whatever else you buy.
- Is the price public? Trainual and Process Street need a sales call. That is fine for a budgeted rollout, less so for a team that wants to try before it asks for budget.
How we compared them
We read each vendor's pricing page, product pages and help-center articles on November 5, 2026: trainual.com, usewhale.io, sweetprocess.com, process.st, waybook.com, mitti.com, scribe.com, tango.ai and dubble.so. Where a page lists no price, we say so. The tools are described from those pages, not from a hands-on test, and vendors change their plans often, so check the pricing page before you buy.
Frequently asked questions
What is SOP software? SOP software helps a team write standard operating procedures and keep them followed. The writing side captures a process as you do it, drafts it with AI from a description, or imports an existing document. The governance side adds version history, approvals, owners and review dates, assignments with due dates, quizzes and sign-off, so you can prove who read which version.
What is the best SOP software in 2026? It depends on which half of the job is broken. To manage an SOP library with assignments, quizzes and sign-off, look at Trainual, Whale, SweetProcess or Waybook. For procedures that must be run as checklists with approvals, Process Street. For sites and shifts, Mitti (by SafetyCulture). To get procedures written in the first place by recording them in the browser, Scribe, Tango or Dubble.
Is there free SOP software? Yes. As listed on November 5, 2026, Whale Free covers 1 creator, up to 10 members and 20 Playbook items. Mitti (by SafetyCulture) is free for up to 10 users. Scribe Basic, Tango Free (5 shared workflows) and Dubble Free capture guides in the browser, and Dubble Free includes PDF download. Vibrantsnap (which we make) writes an SOP with a screenshot for each step from every narrated recording on its Free plan, copied or downloaded as a PDF. Trainual, SweetProcess, Waybook and Process Street have trials, not free plans.
Can AI write SOPs? It can write the first draft. Trainual, Whale, SweetProcess, Process Street and Waybook all draft a procedure from a title or a short description, and Whale converts a video into an SOP on every plan. A draft from a prompt is generic, though: the steps that matter, such as which field finance checks, come from someone doing the task. Capture tools like Scribe, Tango and Dubble write the steps from what you actually click, and Vibrantsnap (which we make) from what you say while you do the task.
What is the difference between SOP software and process documentation software? Process documentation software is about capture: getting a process out of someone's head into a guide or a video. SOP software adds governance: versions, approvals, owners, assignments and proof that people read the procedure. The line has blurred since most SOP libraries added AI drafting and imports, and capture tools added roles and version history on paid plans.
